This Privacy Policy explains how Akshantre Biztech Consultants Pvt Ltd ("HiringReferrals", "we", "our") collects, uses, shares and protects personal data when you use hiringreferrals.com and the HiringReferrals mobile app (together, the "Platform"), whether as a candidate, referral partner, freelancer, employer, recruiter or accountant user. By using the Platform you agree to this policy. If you do not agree, please do not use the Platform.

1. Data We Collect

(a) Account data: full name, email, password (stored in hashed form), mobile number, role, and one-time passwords (OTP) sent to verify you. (b) Profile data: work experience, education, skills, languages, certifications, LinkedIn URL, expected and current salary, city and state you enter, and resumes or documents you upload. (c) Financial data: bank account holder name, account number, IFSC and bank name, PAN, wallet and payout history, TDS and invoice records. (d) Activity data: jobs viewed, saved and applied for, interview and application status, referrals made, badges, campaign participation, points and rankings, reviews you post, and support tickets. (e) Verification data: consents and documents you provide for background verification. (f) Technical data: IP address, device and browser type, app version, log data, and a push-notification device token. The mobile app does not access your camera, microphone, contacts or GPS location; any location is what you type in. The app requests only the INTERNET permission, and your login token is kept in the secure storage of your device.

2. Data About Other People

Referral partners and freelancers may submit details of candidates (such as name, email, phone and resume). If you do this, you confirm that you have the candidates permission to share their data with us for job matching and referral tracking. We use that data only for the referral and share it with the relevant employer. A candidate can ask us to correct or delete such data at any time using the contact details in Section 16.

3. How We Use Data

To create and secure your account; match candidates with jobs; share applications with employers; run referral, joining-bonus and retention tracking; calculate commissions, rewards and payouts and deduct TDS; run background verification you have consented to; run campaigns, badges, leaderboards and prizes; send notifications by push, email, SMS and WhatsApp; provide support; prevent fraud and misuse; improve the Platform including AI-assisted matching and scoring; generate invoices and financial records; and comply with law.

4. Consent and Legal Basis

We process your data based on your consent and on legitimate uses permitted by the Digital Personal Data Protection Act, 2023 and other applicable Indian law, such as performing our contract with you, complying with tax and accounting law, and preventing fraud. You may withdraw consent at any time, but this may stop some features from working and does not affect processing already done.

5. Who We Share Data With

(a) Employers: candidate data relevant to a job the candidate applied to or was referred for, and confirmation of joining and retention. (b) Background verification agencies and agents: identity, employment and education data, only after your consent. (c) Payment processors: Razorpay, for payments and payouts; we store your bank account number and IFSC to send payouts, but card details, UPI credentials and net-banking passwords are never stored by us. (d) Communication providers: WhatsApp Business Platform (Meta), Twilio and email providers for OTPs and notifications, and Google Firebase Cloud Messaging for push notifications. (e) AI providers such as Groq, and other providers we may use from time to time, which process resume and profile text only to parse, score and match under written terms, and not to train their models for others. (f) Infrastructure and analytics: hosting and cloud storage providers, and Google Analytics and Search Console for aggregate usage statistics. (g) Other users, where you take part in leaderboards (Section 7). (h) Government and legal authorities when required by law, and professional advisers under confidentiality. We do not sell personal data.

6. AI Processing

We use AI tools to read resumes, score profiles, suggest matches, answer questions in the app (AI Insights) and power the WhatsApp assistant. Text you type into these features may be sent to our AI providers. Please do not enter passwords, bank details or other sensitive data there. AI outputs are suggestions; hiring decisions are made by employers, not automatically by us.

7. Leaderboards, Campaigns, Rewards and Trips

If you take part in campaigns, yearly rankings, spin rewards or prize programmes (including trips), we record your activity and score and may publish your rank, display name and performance figures such as referral and placement counts to other users and on our website. To claim a prize we may ask for ID and, for trips, travel details, and prizes may be subject to TDS. Details are in our Prizes and Bonus Terms pages. You can ask us to show your name in shortened form, or to stop showing you on public rankings, by writing to us; note that you may then not be eligible for rank-based prizes.

8. Retention Tracking and Joining Bonus

For referral and retention bonuses we record the candidate joining date, employer confirmation and days completed (for example the 91-day milestone). Employers and referral partners see only the status needed to process the bonus.

9. Background Verification

Background verification is run only with your consent, which you can view and manage in the app under Trust and Verification. Reports are shared only with the employer that requested them, and only when the legal and consent checks in our system are met.

10. Payouts, PAN and Tax

We need your PAN and bank details to pay commissions and rewards and to deduct and report TDS. Payment records are retained as required by Indian tax and accounting law.

11. Cookies and App Storage

The website uses functional and analytical cookies; see our Cookie Policy. The app stores your login token in device secure storage and some preferences locally, and uses a push token to send notifications. The app may load fonts from Google Fonts, which can involve your IP address being sent to Google. We do not use advertising cookies or show third-party ads.

12. Data Retention

Candidate profile data is kept for 3 years after your last activity. Payout, wallet, invoice and tax records are kept for 7 years as required by law. Support tickets and audit logs are kept as long as needed for security and dispute handling. When data is deleted from our live systems, copies in backups are overwritten in the normal backup cycle.

13. Security

We use HTTPS encryption in transit, hashed passwords, role-based access, access logs and regular reviews. No system is completely secure, so please keep your login details confidential and tell us at once if you suspect unauthorised use. If a personal data breach affects you, we will notify you and the authorities as the law requires.

14. Your Rights and Account Deletion

You may access and correct your data in your profile, ask for a copy, withdraw consent, and ask for deletion, and you may nominate another person to exercise your rights in case of death or incapacity. To delete your account, use Settings in your account on the website, or follow the steps at hiringreferrals.com/delete-account. We delete or anonymise your personal data, except records we must keep by law (for example payouts, invoices and TDS) or need for fraud prevention and disputes, which are kept only for the required period.

15. Children and Transfers Outside India

The Platform is for people aged 18 and above. We do not knowingly collect data of children; if you believe a child has registered, contact us and we will remove the account. Some providers named in Section 5 may process data on servers outside India. We use such providers only where transfer is permitted by Indian law.

16. Changes, Contact and Grievances

We may update this policy and will change the date above; for material changes we will notify you in the app, by email or on the website. For any request or complaint about your data, write to our Grievance Officer: Vrushali Sawant, Akshantre Biztech Consultants Pvt Ltd, Ghanshyam Tower, Mumbai 400064, email privacy@hiringreferrals.com. We aim to acknowledge requests within 72 hours and resolve them within 30 days. If you are not satisfied, you may approach the Data Protection Board of India once it is operational under the DPDP Act.

17. Franchise Applicants

If you apply for a franchise we collect your name, email, phone, company name, city and state, and payment details such as the order and payment id (card and bank details are handled by Razorpay, not stored by us). We use them to process your application and payment, review it, assign a territory, issue a GST invoice and keep tax records for 7 years. Questions can go to our Grievance Officer in Section 16.
